The Fleet Coordinator is responsible for all aspects of the company's vehicle fleet, including driver management, vehicle movements, expense accounts and fuel cards.

Assigned responsibilities

Element Fleet

  • Add new hired drivers; 
  • Deactivate terminated employees;
  • Manage expense accounts for changes in position;
  • Cancel and issue Fuel & maintenance cards;
  • Monthly fuel reporting;
  • Monthly lease reporting;
  • New Units verify terms are correct and add lease expense to tracking log;
  • Verify movement of vehicles and update files;
  • Track vehicles sold and update tracking file;
  • Summer/Winter tire log and inventory adjustments;
  • Provincial plate renewals. 

Fuel cards

  • Add drivers, delete drivers; 
  • Issue cards for new units / terminate cards for sold units.


Transponders 

  • Manage new/old/replacements; 
  • Monthly reporting/billing consolidation;
  • Identify weekends/holiday usage.


Geotab

  • Tracking and administrating movement, replacements, additions etc. 


MHE
 

  • Track movement of equipment and inform FA manager;
  • Keep updated logs of status of equipment.


Budgets

  • Provide accurate current and on order estimated expense for vehicle leases; 
  • Provide all MHE info and on order estimated delivery & costs; 
  • Provide current status of batteries to budget for following years’ expense.

  • Computer Skills : You can easily familiarize yourself with complex software. You are very comfortable with computers, especially the Microsoft Office Suite. Excel advanced (formulas, vlookup, macros, etc.) and basic SAP knowledge.
  • Languages : English is required, French is an asset.
