The Executive Assistant's main responsibility is to provide administrative and organizational support to the CEO, in the management of day-to-day tasks and at various meetings, advisory committees and executive committees, in addition to personal assistance.

 

Assigned Responsibilities

  • Agenda management (prioritizing appointments), organizing meetings and travel, taking into account family obligations.
  • Provide administrative support for presentations (writing, layout, updating, etc.) and attend various meetings to take notes and follow up on actions.
  • E-mail management. Proofread CEO e-mails before sending.
  • Follow-up on certain data and reports.
  • Revise and proofread documents for grammar, format and compliance with internal requirements.
  • Translate texts from French to English and vice versa.
  • Manage files and documents using multiple storage applications (Teams, Network).
  • Plan business, manufacturing, event and personal trips.
  • Draft and implement various office procedures as required.
  • Manage corporate events according to annual calendar.
  • Follow-up of personal projects (coordination of family activities, travel, management of suppliers and various properties, boats, cars);
  • Workload management, time sheet and development plan for one resource (Receptionist).

Success factors

  • Technical background: A minimum of 10 years' significant experience as an executive assistant to senior management makes you an expert in the administrative field;
  • Computer expertise: You are proficient in the advanced functions of the Office suite (Word, Excel, PowerPoint) and have a facility with computer tools;
  • Language skills: Perfectly bilingual, you are fluent in French and English, both orally and in writing;
  • Time management: You have remarkable organizational and planning skills, despite stress and tight deadlines;
  • Thoroughness: You are professional and meticulous, and pay close attention to detail, ensuring the accuracy of information provided at all times.
